The conference takes place in the Hotel, and the cost of the conference includes accommodation there.

We cannot quote a reduced price for delegates wishing to stay elsewhere on the island.

We cannot accept bookings for part of the conference only.

COSTS

The conference fee is 495 GBP, which includes accommodation and breakfast for four nights (14, 15, 16, 17 September), Registration Dinner on 14 September and Conference Dinner on one other evening, lunch and refreshments during breaks in the programme over the three full conference days (15, 16, 17 September) and breakfast on 18 September.

BOOKING THE HOTEL

What is the cost of accommodation?

Accommodation for the conference period is included in the conference delegate fee; i.e. bed and breakfast for the Friday, Saturday, Sunday and Monday nights.

What if I want to stay at the hotel for extra nights?

Outside of the conference period, you must book any extra accommodation for yourself direct with the hotel. If you tell the hotel that you are a conference delegate they will allocate you the same room for the duration of your stay.

Can I bring my partner with me?

Yes. CERLIM will book a double room for delegates and their partners for the duration of the conference. The hotel will bill your partner separately. If your partner wishes to attend the conference sessions he or she will need to book a place as a delegate and pay the conference fee.

Can I bring my children with me?

Yes. CERLIM will ask the hotel to provide a family room for the duration of the Conference. The hotel will bill you for your children separately. If you wish to book an extra room for your children, you must arrange this yourself, direct with the hotel.

I am attending the Conference on my own; do I have to share a room with another delegate?

Not unless you wish to. Separate rooms are booked for each delegate unless you tell us otherwise.

Please note:
CERLIM does not allocate hotel rooms to delegates; this is done by the hotel management. If you are accompanied by friends or family, or if you book extra nights, please confirm directly with the hotel what the cost of this will be.

FOOD AND DRINK

Can the hotel cater for special diets?

The hotel serves fresh local produce as far as possible. In the past they have provided vegetarian meals. If your dietary needs are very specific, or result from a medical problem, it would be best to discuss these with the hotel before committing to your conference booking.

What meals are included in the conference fee?

These are specified in the Conference publicity material. They include breakfast, and lunches and light refreshments on conference days. Dinner is provided on the evening before the start of the conference, and on another evening there is a Conference Dinner. There will be two other evenings when you may wish to explore the many local restaurants at your own expense (about 15-20 Euros)

Can my partner and family take breakfast and dinner with me?

Breakfast: Yes, breakfast is included in the room rate.

Registration and Conference Dinners: This is possible as long as you inform us in advance so that we can inform the hotel of exact numbers. The hotel does not provide dinner unless it has been booked in advance. You will be billed separately for meals taken by other family members.

Is the cost of alcohol included in the conference meals?

The Conference Dinner includes a set amount of wine per table. At all other times you must pay your bar bill separately.

DRESS CODE

Please dress for comfort. In particular, the Conference Room may become very warm during the afternoon. You can get an idea of suitable dress from previous Conference photographs.

SENDING EQUIPMENT AND MATERIALS IN ADVANCE

I have some project handouts that I would like to distribute at the Conference. May I send these to CERLIM in advance of the Conference?

No. We are not able to carry materials and equipment to Lesvos on your behalf. We will give advice on request about sending materials ahead of the Conference date. Also, it would be unwise to rely on photocopying in bulk at the venue. Please remember delegates have to carry paper handouts on their homeward journey.

CANCELLATIONS

Will you refund my conference fee if I have to cancel my booking?

The booking form clearly states the date after which fees will not be refundable. After this date your organization may substitute another delegate if you are unable to attend.

Will you cancel my hotel booking for me?

We will cancel your hotel room for the duration of the Conference, but if you have booked any extra rooms or dates, you must cancel these direct with the hotel yourself.

TRAVEL

How do I get to Lesvos?

Most delegates fly. We cannot arrange travel for you, but there is a good variety of charter and scheduled flights to Lesvos (Mytilene airport – short code MJT). There are also ferries to the island. We recommend that you discuss your requirements with a travel agent, but are able to offer the following for guidance only. We cannot provide definitive accurate travel information.

Flights from the UK:-
Charter flights are available direct between Gatwick or Manchester airports and Lesvos (Mytiline airport – short code MJT) on Thursdays only. They are for 7 days and take around 4 hours. A return flight is likely to cost approximately 200 – 270 GBP. If you wish to take the weekly charter flight and stay at the hotel for extra nights, please refer to ‘Booking the Hotel’ above.

Scheduled flights do not go direct to Lesvos but via Athens. Delegates are encouraged to try to plan their arrival in Molyvos in time for the Welcome Dinner at 8.00 p.m on Friday 14th, bearing in mind that you will need to allow one and a half hours for transfer from Mytilene airport. It is worth checking the cost of a variety of routes from the UK via London and other European airports, and also worth noting that the prices quoted for through flights are sometimes considerably higher than buying separate UK to Athens, then Athens to Mytilene journeys.

Flights from other than the UK:-
Charter flights may be available from some European countries direct to Lesvos (Mytiline airport – short code MJT). They are for 7 days and may take around 4 hours.

Scheduled flights do not go direct to Lesvos but via Athens, or in a few cases via Greece’s second city Thessaloniki. Flights to these cities may be via another European airport such as Amsterdam, Paris or Frankfurt.

How do I get from the airport to the conference venue?

The easiest way is by taxi, which takes about one hour and cost about 35 euros, but sharing is very often possible.

Is there any way I can share a taxi with other delegates?

We ask all delegates to let us know their flight arrival times in Lesvos . Then during the week before the conference we circulate a list of names and arrival times, so that you can contact other delegates and arrange to meet and share taxis.

MOBILE PHONE CONNECTIVITY

In previous years this has been good, though as always you should check with your service provider before arriving on the island.

INTERNET and WIFI CONNECTIVITY

In previous years there has been no Wifi connectivity or public email facility at the hotel. There are cyber cafes close by. We recommend that you warn family, friends and work colleagues that you may be out of touch by this means for the duration of the Conference.

INFORMATION FOR SPEAKERS

Why do you ask me for my presentation before the start of the conference?

We run all PowerPoint and other electronic format presentations using a laptop and projector which we bring with us, with all presentations loaded on to it. This ensures that your presentation is ready for you to use, and that the conference runs smoothly. Presenters will be invited to have a brief run through with a member of our team at some point prior to their presentation, in order to familiarise themselves with the equipment. You may, of course, bring a back up copy of your presentation with you if you wish to do so.

What if I want to use a presentation package other than PowerPoint?

Please check with us. We will endeavour to accommodate you.

Is there internet access in the Conference room?

We cannot guarantee the stability of internet access anywhere within the hotel. Therefore it is best to ensure that your presentation can be delivered without online facilities.

ADDITIONAL INFORMATION FOR WORKSHOP PRESENTERS

Workshops are invited which encourage small group discussion and group exercises. The Conference room will be available for use at the workshop There are no formal breakout rooms, but there are plenty of informal facilities for small group discussions within the hotel and gardens.

The session can be one continuous hour, or two half hour sessions at either side of the lunchtime break during which there will be ample time for guided discussion.

Any additional equipment needed for the workshop session, such as handouts, worksheets etc. are the responsibility of the presenter. We cannot carry materials and equipment to Lesvos on your behalf. We will give advice on request about sending materials ahead of the Conference date. Also, please note that it would be unwise to rely on photocopying in bulk at the hotel.

THE CONFERENCE PROGRAMME

When will the programme be available?

A provisional programme is prepared well in advance of the Conference, and will be posted on the conference website. This will be updated regularly, and any last minute amendments are circulated to delegates on arrival in Lesvos.

The papers from the conference will be published in book form in the LWW7 Conference Proceedings by FACET Publishing.
